We want you to be confident about the way we handle your data.  OAG understands and respects the importance of your privacy. This privacy policy, which is designed to give you peace of mind and confidence, sets out the basis on which any personal data you provide to us will be processed by us.

By making a booking or purchase or by submitting your personal data, you agree to the transfer, storing or processing of it as set out below. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Personal information we may collect from you and why we collect it

When you book onto any of our events, OAG will need collect certain personal data about you. The sort of personal data we collect will be information such as name, address, email address, telephone number, date of birth, and personal travel preferences. We need to collect this information to arrange the travel and other services you are requesting. We may also need to collect more sensitive personal data such as information concerning medical conditions, disabilities and special requirements, to be able to consider your needs in relation to an event. This information is shared in the strictest confidence with the relevant OAG host at your booked event.

Transferring your data

When you make a booking direct with the Outdoor Adventure Girls, certain details of the personal data you provide will need to be passed to and processed and stored by relevant third parties, such as airlines, hoteliers and ground handling agents, so that they can provide your accommodation and dietary requirements. Some of these third parties may be based outside of the European Economic Area (“EEA”). Organisations that are based outside of the EEA may not be subject to the same level of controls regarding data protection as exist within the UK and the EEA.

For you to travel overseas, we may be required to disclose certain of your personal data to government bodies or other authorities in the UK and in other countries, such as those responsible for immigration. Your information will also be stored by our International Event partner, Intrepid.

How we use your information

We use information held about you in the following ways:

  • When making a booking for any of our events
  • To communicate with you regarding your booking or other purchase
  • To notify you about changes to our service
  • For improving the quality of our service and the products offered by OAG – provision of feedback
  • For internal research/analysis and customer profiling
  • For resolving complaints and dealing with disputes
  • For marketing requests made by an individual
  • For preventing and detecting fraudulent or criminal activity
  • Purchase from our website.
  • Applying for any roles with OAG
  • Subscription to our newsletter or other publications. 
  • Enter a competition, promotion or survey

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

1. Identity Data 

This includes data relating specifically to your identity, such as your first name, photograph maiden name, last name, username or similar identifier, marital status, title, date of birth and gender.

2. Contact Data 

This includes data relating to how you may be contacted, such as your billing address, delivery address, email address and telephone numbers.

3. Financial Data 

This includes data relating to your means and methods of payment, such as your bank account and payment card details.

4. Transaction Data 

This includes data relating to the transactions you have carried out with us, such as details about payments to and from you and other details of products and services you have purchased from us.

6. Profile Data 

This includes the data that we receive when you contact us or when any purchases are made by you.  Feedback and survey responses also fall under this data setting.

7. Usage Data 

This includes information about how you use our website, products and services. 

8. Marketing and Communications Data 

This includes your preferences in relation to whether or not you want to receive marketing from us and our third parties and also your communication preferences.

9. Special Categories of Personal Data

We collect the following special categories of personal data about you. Details about your:

  • dietary requirements which may disclose your religious or philosophical beliefs.
  • Health
  • Medication

We collect and process the above data only where it is strictly necessary to do so in order to deliver the travel service that you have purchased. Furthermore, we will only collect and process the above special categories of sensitive personal data where you have provided us with your explicit consent to do so.

You are not under any obligation to consent to us processing your sensitive personal data. However, without your consent, we won’t be able to make the necessary arrangements to provide the travel services that you have booked or are attempting to book. As a result, if you do not provide your consent, we will be unable to proceed with your booking.  

If you are happy to consent to our use of your sensitive personal data, you will also be able to withdraw your consent at any time. However, as this will prevent us from providing the travel service you have booked, we will be required to treat any withdrawal of consent as a cancellation of your booking and cancellation charges will be applicable.

If you fail to provide personal data

Where we need to collect personal data by law or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you. 

In other words, where we require details from you in order to provide you with your chosen travel services, if you do not provide us with the necessary details then we will not be able to provide the services you have booked or are attempting to book.  

In this case, depending upon when you fail to provide the necessary data, we may either not be able to process your booking or we may have to cancel your booking, in which case we will treat this as a ‘cancellation by you’ in accordance with our Booking Terms and Conditions. We will notify you if we are unable to process a booking or are required to cancel a booking for this reason. 

How Your Personal Data is Collected

We use different methods to collect data from and about you including through:

(A) Direct interactions

You may give us your Identity, Contact, Financial, Transaction, Technical, Profile and Usage data by filling in forms or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you:

  • make a booking of travel services
  • purchase from our website.
  • apply for vacant roles with us.
  • subscribe to our newsletter or other publications. 
  • request marketing to be sent to you
  • enter a competition, promotion or survey; or
  • Provide post event feedback.

Please note that when using our website, you may be able to share information through social networks like Facebook and Twitter. For example, when you ‘like’, ‘share’ or review our services. When doing this, your personal information may be visible to the providers of those social networks and/or their other users. Please remember it is your responsibility to set appropriate privacy settings on your social network accounts, so you are comfortable with how your information is used and shared on them. This will not be the responsibility of the Outdoor Adventure Girls.
